1. Who we are

Plan to Price Estimating LLC provides construction takeoffs, cost estimates, contractor proposal preparation and related approved services. This notice describes how we handle information received through our website and service communications.

2. Information we collect

We collect information you provide, including your name, company, email, optional phone number, project city and state, deadline, requested service, language preferences, measurements, work descriptions, rates and other project details.

If you request a branded proposal or logo, you may provide business contact details, a license or registration number, customer name, project address, logo and design preferences. Uploaded plans, photos, sketches and other documents may contain information about you or other people. We also keep communications, quotes, approvals and service records, along with inquiry reference numbers, submission times, attachment details and email-delivery status.

Our hosting and communications providers may process technical information such as IP addresses, browser/device information and access or delivery logs to operate and protect their services.

3. How we use information

We use information to review inquiries, clarify scope, prepare quotes, communicate in your preferred language, perform approved work, deliver documents, administer billing, resolve questions and disputes, and protect our business and website. We also retain records where needed for legal and accounting obligations.

Submitting an inquiry does not automatically enroll you in promotional emails. We do not sell personal information or share it with third parties for their targeted advertising. We obtain separate written permission before using your project, company identity or documents in public samples, portfolios or marketing. Removing a name alone does not replace that permission.

4. Where information goes

Website inquiries and attachments are stored in our website database and file storage. A copy of the submitted details and attachments is also sent to our business email inbox for review and response.

Current technology services include OpenAI Sites and Cloudflare for website infrastructure and storage, Resend for inquiry email delivery, and Porkbun for our business mailbox. These providers process information needed to supply their services. Information may also be accessed by authorized personnel assisting with your approved work, and by professional advisers where necessary. Access should be limited to what is needed for those purposes.

We may disclose information when required by law or when reasonably necessary to address fraud, security incidents, legal claims or protection of rights. We do not publish submitted project files automatically. Provider processing may occur outside your state or country, subject to applicable requirements.

5. Payments

Our inquiry form does not collect payment-card or bank-account details. Do not include those details in project uploads, messages or email. Payments are arranged separately after approval of a written service quote. When an external payment provider is used, its privacy notice applies to information you submit directly to it; we may receive billing and payment-status records needed to administer your order.

6. Browser storage, website statistics and links

The website saves your English/Spanish preference in local browser storage. For first-party website statistics, it stores a date marker in session storage for the current browser tab. This helps count visits across pages without a persistent visitor identifier or analytics cookies. Clearing site data removes these preferences and markers, but does not delete information already submitted to us.

We count page views, browser-tab visits, clicks on sample PDFs and successfully saved quote requests. Statistics record approved page or sample names, dates and random event references used to avoid duplicate counts. They do not contain form contents, contact details, query strings, referrer URLs or IP addresses. These counters run on our own website infrastructure; there are no advertising pixels or third-party analytics integrations. Hosting and security providers may still process technical logs.

Browser activity counting is disabled when your browser sends Do Not Track or Global Privacy Control. Necessary quote-request records and aggregate counts of successfully saved inquiries still operate. Visits are estimates, not counts of unique people, and sample clicks do not prove that a file download completed. Event records older than 30 days are removed on subsequent recorded activity; daily totals are retained to understand website use. External services have their own privacy practices.

7. Retention and security

We retain information for as long as reasonably needed to respond to inquiries, perform services, maintain necessary business records, and meet legal, accounting and dispute-related needs. The period depends on the information and purpose. We review information for deletion or de-identification when it is no longer needed. Some records may need to be retained after a deletion request; provider backups may remain until their normal expiration.

We use reasonable safeguards appropriate to the information, but no website, storage system or email transmission is completely secure. Please share only what is necessary and authorized. Do not upload Social Security numbers, identity documents, passwords, payment credentials or unrelated sensitive information. If a project requires especially confidential material, contact us before sending it to agree on a suitable handling method.

8. Your choices and requests

Email hello@plantopriceestimating.com with the subject Privacy request to request access to, correction of, or deletion of information we hold about you. Include enough detail to identify the inquiry or project, without sending sensitive identity documents. We may need to verify your identity or authority before acting.

We will respond in accordance with applicable law and explain any lawful reason we cannot fulfill a request. Depending on applicable law, you may have additional rights, including receiving a copy of your data, opting out of certain processing, or appealing a decision. To ask for reconsideration, reply to our response with the subject Privacy appeal. We will not discriminate against you for exercising applicable privacy rights.

You may decline optional fields or contact us instead of uploading files. Missing project information may limit our ability to quote or perform the service. If you provide information about a customer or another person, ensure you are authorized to share it and direct them to this notice.

9. Children and updates

Our services are directed to adult business customers, not children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe such information has been submitted.

We may update this notice as our services or practices change. The posted effective date will identify the current version. We will provide additional notice or obtain consent when required by law. This notice does not waive any privacy rights available under applicable law.
